2a. Account Registration (Standard)
When you register for a membership account, we collect your name, email address, and password. We use this to create and manage your account. The lawful basis is contract — this data is necessary to provide your membership.
2b. Account Registration via Facebook Login
If you choose to register or log in using Facebook Login, Facebook will share with us the data you have authorised — typically your name, email address, and profile picture. We store this to create and identify your account. We do not receive your Facebook password or any data beyond what you explicitly permit. The lawful basis is contract.
Facebook’s own use of your data when you use their Login product is governed by Meta’s Privacy Policy.
2c. Account Registration via Google
If you choose to register or log in using your Google account, Google will share with us the data you have authorised — typically your name, email address, and profile picture. We store this to create and identify your account. We do not receive your Google password or any data beyond what you explicitly permit. The lawful basis is contract.
Google’s own use of your data when you use their sign-in product is governed by Google’s Privacy Policy.
2d. Paid Membership (Stripe)
When you purchase a paid membership, payment is processed by Stripe Payments Europe Ltd. We do not store your card details on our servers. Stripe receives your payment card information, billing name, and email address directly. We receive confirmation of whether a payment was successful. Stripe’s privacy policy is available at stripe.com/gb/privacy. The lawful basis is contract.
2e. Member Newsletter
If you are a member, we may send you a newsletter about site updates, new stopover listings, and club news. The lawful basis is legitimate interests — communicating relevant updates to paying or registered members. You can unsubscribe at any time via the link in any newsletter email.
2f. Website Comments
If you leave a comment on the site, we collect the data shown in the comment form, plus your IP address and browser user agent string for spam detection. An anonymised hash of your email address may be sent to Gravatar to check whether you have a profile image. Gravatar’s privacy policy is at automattic.com/privacy. The lawful basis is legitimate interests.
2g. Facebook Pixel
This site uses the Facebook Pixel, a tracking tool provided by Meta Platforms Ireland Ltd. The Pixel collects data about your visits to our site (pages viewed, actions taken) and sends it to Facebook, which may use it to show you relevant advertising on Facebook and Instagram, and to provide us with aggregated analytics about how people interact with our site. The lawful basis is consent — the Pixel only activates where consent has been obtained in line with UK GDPR. You can manage your Facebook ad preferences at facebook.com/adpreferences.
2h. Technical and Log Data
When you visit our website, our hosting provider automatically records standard log data including your IP address, browser type, pages visited, and timestamps. This is used solely for security and site performance purposes. The lawful basis is legitimate interests.
3. Cookies
We use cookies for the following purposes:
- Essential cookies: Required for login sessions, security, and to remember your preferences. These cannot be disabled without affecting site functionality.
- Analytics/tracking cookies: The Facebook Pixel sets cookies to track site interactions across sessions. These are only set with your consent.
Login session cookies last for two days by default, or two weeks if you select “Remember Me”. You can control cookie settings through your browser.
4. Who We Share Your Data With
We share personal data only where necessary:
- Stripe — to process payments (see section 2c)
- Meta (Facebook) — via Facebook Login and the Facebook Pixel (see sections 2b and 2f)
- Automattic (Gravatar) — an anonymised hash of commenter email addresses only
- Our hosting provider — who processes data on our behalf under a data processing agreement
- Law enforcement or regulators — where we are legally required to do so
We do not sell your personal data to any third party.
5. How Long We Keep Your Data
- Member account data: Retained for the duration of your membership and for up to 6 years afterwards for legal and accounting purposes.
- Payment records: Retained for 6 years in line with UK tax law.
- Comments: Retained indefinitely unless you request removal.
- Newsletter subscription: Retained until you unsubscribe.
- Technical log data: Typically retained for up to 90 days by our hosting provider.
6. Your Rights Under UK GDPR
As a UK resident, you have the following rights regarding your personal data:
- Right of access: Request a copy of the personal data we hold about you.
- Right to rectification: Ask us to correct inaccurate data.
- Right to erasure: Ask us to delete your personal data, subject to legal obligations that require us to retain it.
